  1. Step 1

    Set naming standards

Agree on names, unique identifiers, types, categories and site ownership before adding assets in volume.

  2. Step 2

    Create the asset record

Add the asset identity, site, status, risk classification and supporting context.

  3. Step 3

    Set worker visibility

Confirm what a public or worker QR scan is allowed to display.

  4. Step 4

    Attach controlled information

Add appropriate photos, documents and reference information without exposing restricted material.

  5. Step 5

    Configure inspection and competency needs

Add inspection profiles, due dates and worker competency requirements where they apply.

  6. Step 6

Generate and test the asset QR

Confirm the asset, public information and available inspection workflow on a supported phone.

  7. Step 7

    Review the lifecycle

Test assignment, operator handover, inspection history and the retirement process.

Prove it worked

  • The asset can be found by name and identifier
  • Site, status and risk classification are correct
  • Worker scan shows only approved content
  • Inspection history and assignment state are reviewable

Common problems and safe recovery

Duplicate assets appear after bulk entry.

Pause imports and reconcile the unique-ID convention before merging or retiring records.

The QR exposes too much information.

Deactivate the code, correct worker visibility and retest with an unconnected participant.

What happens next

Create the Asset Pre-Use Inspection template and run successful and failed-condition tests from the asset QR.
