Decisions that matter

Site scope

Select a site when the relationship is site-specific; leave it organization-wide only when that is intentional.

Sharing request

Request only the Passport areas needed for the stated work purpose.

Invitation lifecycle

Monitor pending, accepted, declined and expired states; revoke invitations that should no longer be used.

  1. Step 1

    Choose worker invitation

Use the Passport worker invitation rather than an organization-user invitation when platform access is not required.

  2. Step 2

Add the worker and optional site

Enter the worker’s email and name, then scope the invitation to a site when appropriate.

  3. Step 3

    Explain the connection

Tell the worker who is requesting the connection, why it is needed and what information may be requested.

  4. Step 4

Worker accepts or creates a Passport

An existing Passport can connect; a new worker follows the account and Passport setup journey.

  5. Step 5

    Review sharing choices

The worker reviews supported employer requests and controls the available Passport-sharing settings.

  6. Step 6

    Track invitation state

Monitor pending, accepted, declined or expired invitations and resend or revoke when appropriate.

Prove it worked

  • The invitation identifies the correct organization
  • The worker can understand what connecting means
  • The connected worker appears without consuming organization-user capacity
  • Sharing reflects the worker’s supported choices

Common problems and safe recovery

The worker already has a Passport.

Ask them to sign in with the existing account and accept the new organization connection.

The invitation has expired.

Confirm the email and site, then use the supported resend or replacement action. Do not create a duplicate worker.

What happens next

Have the worker complete their Passport setup and review the organization’s information request before the pilot begins.
